Use this glossary to know about business and technology terms associated with Chargebee Receivables.
Terminology | Description |
---|---|
Customer | Customers who have signed up with a merchant for services or products and in return owe them money. |
Invoice | Invoice is a document issued by the business to its customer specifying the services and/or products sold to them. |
Credit Notes | Credit note is a document sent by a merchant to the customer, notifying that a credit has been provided to their account. |
Issue | An issue is a kind of dispute raised by a customer for non-payment of the invoices. |
Outstanding | Total amount that customers owe to the company. |
Overdue | Total amount overdue from invoices, debit notes, etc. which have passed their due date. |
Net Overdue | Total amount from overdue invoices minus unutilised credits. |
Unutilised Credits | Total credit amount not adjusted against the invoices. |
Unaccounted Payment | The total payment amount that is not adjusted against the invoices. |
Promise to Pay (PTP) Amount | The total amount which customers have promised to pay on a future date. |
Issue Amount | The total amount in issues raised by the customers. |
Open Invoices/Debits | The total amount from all open invoices and debits. |
Ageing Buckets | When an invoice becomes overdue, it can be categorised into different buckets based on the number of days it has been overdue. For example, 0-30, 31-60, 61-90, and so on. |

Auto Engagement | Receivables Auto Engagement is an automation tool used for sending payment reminders to your customers based on simple to complex business rules. |
Collector Queue | Collector Queue is a CRM tool for managing customer issues, promise to pay, and email replies. |
Cases | Tickets assigned to AR users in the Collector Queue. It can be email, response, issues, and follow ups. |
Follow-up | A follow-up case is created in Collector Queue when a user sets a reminder or is assigned by other team members. |
Notes | A note is used to record an activity related to customers or invoices. A user can take notes at the customer or invoice level. |
Summary | Users can write a summary to describe the collection status of the customer for managerial review. |
Collection Status | Indicates the current status of collection related activities performed by collectors and customers over a period of time. A collection status can have multiple sub status and associated turnaround time (TAT). |
AR Analytics | An insightful dashboard for the leadership team to measure and track the AR health of the business. |
AR Reports | Receivables has multiple reports to track AR, team performance and collection activities associated with the customers and invoices. |
Customer View | A customer-level view to see each customer's AR and collection-related information such as outstanding, last contacted date, overdue, etc. |
Transaction View (All) | A transaction-level view that lists all the transactions across customers, including details like due date, balance, and payment status. |
Transaction View (Open) | Displays only open transactions across customers, with invoice-level information such as due date and balance. |
Custom Fields | Used to track collection information, customer data, or finance information. Custom fields can be created at customer and document levels. |
Email and SMS Reminder | Users can send payment reminders or account statements manually or automatically for open or overdue invoices. |
Contacts | Includes customer contacts grouped by escalation levels, who receive email and SMS reminders. |
What's New Notification | Displays new features, enhancements, or bug fixes via the notification center. |
Terminology | Description |

Grid View | The reports in Receivables View and Reports are presented in a grid view that can be customized to some extent. |
Advance Filter | Receivables Views and Reports provide both quick and advanced filter options to refine data. |
Column Chooser | Allows users to select columns in Receivables Views and Reports according to business needs. |
Top Metrics Bar | Displays important AR metrics at the top of most Receivables Views. |
Save View | Enables saving a custom view/report for reuse and sharing with other team members. |
Email Reports | Sends the current report view to the user's registered email address. |
Bulk Actions | Allows performing actions on multiple customers or documents at once with a single click. |

Overdue Composition | Shows the percentage of the total outstanding amount that is currently overdue for the selected date range in analytics. |
90+ AR Percentage | Displays the portion of outstanding that falls under the 90+ days ageing bucket. |
Average Credit Period | Shows the average time allowed to customers before payment is due. |
Average Due Days | The average number of days past the due date for unpaid invoices. |
Daily Sales Outstanding (DSO) | Measures the average number of days it takes to collect payments, indicating cash flow health and collection efficiency. |
AR Master (All Entries) | A comprehensive report to slice and dice receivable data by business units, customers, or transactions. |
AR Master (Open Data) | Similar to AR Master (All), but includes only open data entries. |
Cash Projection – Due Date | Helps CFOs and finance leaders analyze cash flow based on invoice due dates. |
Cash Projection – PTP | Provides cash projection insights based on customers' promised payment dates. |
Collection Review Report – Customer Wise | Enables AR Heads to review each customer's receivables and identify stuck payments. |
Collection Review Report – Invoice Wise | Helps analyze collection performance at the invoice level. |
User Performance Report | Used by collections managers to assess activities performed by collectors and users. |
Case Report | Lists all cases created in the system with filtering options to customize views. |
Client Engagement – Email Report | Analyzes customer interactions with email reminders for collections teams. |
Terminology | Description |

Organization Hierarchy | Organization hierarchy allows you to create a role-wise reporting structure. For example, collectors report to AR Head, and AR Head reports to CFO. |
Users | Users are the team members with specific roles and permissions in Receivables. You can invite users to your account and assign them roles and permissions. |
Roles | A role defines the designation of the user in the organization. |
Visibility | Using visibility, users can access data based on customers assigned to them or based on business unit, location, and reportee. |
Permissions | Permissions are associated with a role and allow users to access certain features and perform collection-related activities in Receivables. |
Templates | The templates in Receivables provide a ready-made structure for email and SMS reminders. Useful when sending the same message to multiple customers. |
Template Variables | Predefined values in Receivables that let you add customer- or invoice-related data into email and SMS templates for reminders. |
User Profiles | Users can configure their profiles with details like full name, profile picture, email signature, password, and more. |
Company Profile | Admins can configure the company's profile with details like company name, logo, signature, timezone, and more. |
Account Statement | Displays customer account payables and financial info such as due invoices and balance. Admins can configure what's shown when downloaded from email reminders or the client portal. |
Ledger Statement | A ledger tracks all financial transactions related to collections. Admins can configure this statement for downloads via email reminders or the client portal. |
Reminder Invoice List | Admins can configure which columns appear in the invoice list within the email reminder. |
Single Sign-On (SSO) | Admins can control whether users log in to Receivables using a password or Google sign-in. |

Consent Management | Chargebee's Consent Management feature provides tools to capture and manage customer consent information effectively. |
Personal Data Management | Helps align Chargebee with your data retention policies by managing customer personal data appropriately. |
Compliance Certificates | Certificates and audit reports demonstrating Chargebee's data security and compliance are available for download in the Chargebee app. |
