New Reporting Solution FAQs

Overview

Chargebee RevRec is upgrading the reporting experience with a new solution that is faster, more flexible, and fully integrated, built and maintained by Chargebee. The new reporting solution is being rolled out in batches starting August 10, 2026. Chargebee Support team will notify you when the new reporting solution is enabled for your RevRec site. You can explore the new reports alongside your existing reports at no additional cost and with no disruption to your current workflows until the legacy reporting solution sunsets on October 1, 2026.

Availability

  • The new reporting solution is currently being rolled out in batches starting August 10, 2026. Chargebee Support team will notify you when the new reporting solution is enabled for your RevRec site.
  • The legacy reporting solution will be sunset on October 1, 2026.

This document answers the most common questions about the new reporting solution.

About the new reporting solution

How is the new reporting solution different from the legacy one?

The new reporting solution delivers several advantages over the legacy reporting solution:

  • A cleaner, analysis-friendly interface. A spacious grid makes it easier to navigate and analyze data, even with large datasets.
  • Exports of more than 1 million records. You no longer need to split large datasets across multiple files.
  • No special license required. Anyone can save reports from day one. The legacy reporting solution required a Power User license to save reports.

Note

While the new reporting solution rolls out, your legacy reporting solution access stays fully intact until the sunset date; nothing is removed while you evaluate the new experience.

What happens to the legacy reporting solution, and when?

The new reporting solution is being rolled out in batches starting August 10, 2026, and Chargebee Support will notify you when the new reporting solution is enabled for your site. The timeline is:

  • August 10, 2026: Planned batch rollout begins. Chargebee Support notifies each site as the new reporting solution is enabled. The new reporting solution runs alongside the legacy reporting solution.
  • October 1, 2026: The legacy reporting solution sunsets.

Which reports are available?

Most reports you use today in the legacy reporting solution are available in the new reporting solution, through a faster and more intuitive interface. Remaining reports become available in phases:

  • Phase 1: Standard Reports.
  • Phase 2: Shared Reports and My Reports.

Report sharing is available through the Shared Reports category.

Note

The following Standard Reports are not currently available in the new reporting solution:

  • Expense reports: Expense Roll Forward and Expense Control.
  • Foreign exchange (Forex): FX Translation report.
  • Security and audit: Security Events report and Sales Order Manual Update report.

Why can't I see my saved reports, and when will they be migrated?

Saved reports from the legacy reporting solution are not automatically available in the new reporting solution for every site at once. Sites receive access in planned batches. Chargebee Support team will notify you when your site is enabled and when your saved reports have been migrated and are ready to use in the new reporting solution. Until then, continue to access and use your saved reports in the legacy reporting solution as usual. No functionality is lost because the legacy reporting solution remains accessible alongside the new one until the sunset date.

Navigate and view reports

How do I switch between reports in a category?

There are two ways to switch reports:

  • Open the Report dropdown at the top-left of the report grid and select the report name.
  • Click the Reports button on the right side of the Report Explorer. A panel slides in, listing every report in the category. Select a report name to switch to it instantly. A checkmark indicates the active report.

How many rows appear per page, and how do I move between pages?

Each report shows 100 rows per page by default. Use the pagination controls at the bottom-right of the page (Previous, Next, and page numbers) to move between pages. The total record count and page count appear at the bottom.

Page navigation is supported up to 100,000 pages. If your dataset is larger than that, export the report to download the full data and work with it outside Report Explorer.

How do I expand or collapse records?

Records appear fully expanded by default when you open a report.

  • To collapse all rows to their top-level summary, click the Collapse all icon in the report toolbar. Each accounting period then shows the total number of records it contains, along with aggregated metric totals.
  • To expand all rows again and reveal the full detail of every record within each group, click the Expand all icon in the report toolbar.

What do the Partial and Continued badges on an accounting period mean?

Because a report shows a limited number of rows per page (for example, 100), a single accounting period with many product line items can span multiple pages. Two badges help you track this:

  • Partial appears when an accounting period's data is cut off mid-way — only some of its records are shown on the current page, so its data isn't fully visible there.

  • Continued appears when the records shown belong to an accounting period that started on the previous page, confirming it's a continuation rather than a new period.

The Subtotal row appears only at the end of an accounting period's complete dataset. If a period's data is cut off midway and continues onto the next page (marked Partial), the subtotal doesn't appear on that page. It appears on the following page once every record for that accounting period has been displayed.

How do I pin or freeze a column?

You can pin a column so it stays visible while you scroll horizontally through wider reports.

  • To pin a column, open the column's actions menu (the caret on the column header) and select Pin.

Pinning is currently supported for the first two columns of a report. Support for pinning more columns is planned for a future release.

How do I resize a column?

Hover over the right edge of a column until the resize cursor appears, then drag left or right to adjust the column's width.

How do I refresh report data?

Click the Refresh icon in the report toolbar to reload the report and fetch the latest data.

Refreshing resets all in-progress changes from your current session — including sorting, filters, dimensions or metrics you've added or removed, and any expand or collapse actions — and returns the report to its default layout with the latest data. If you want to keep your current view, save the report before you refresh.

After you add, remove, drill down on, or rearrange a dimension or metric, the report grid takes a moment to update. Wait for it to refresh before making further changes.

How do I add a dimension (column)?

Follow these steps to add a new dimension or column to your report:

  1. Open the Data panel using the Data button on the right side of Report Explorer. Under Dimensions, you'll see the dimensions currently in the report.
  2. To add one, open the Add dimension dropdown and select a dimension from the list. The dimension is added to the report grid.

How do I add a metric (aggregation)?

Follow these steps to add a metric or aggregation to your report:

  1. Open the Data panel using the Data button on the right side of Report Explorer.
  2. Under Metrics, you'll see the metrics currently available in the report. To add one, open the Add metrics dropdown and select a metric from the list. The metric is added to the report grid. Every column that was available in the left menu of the legacy reporting solution is available in the Add metrics dropdown.

How do I remove a dimension or metric?

There are two ways to remove a dimension or metric:

  • Open the Data panel using the Data button on the right side of Report Explorer. Under Dimensions and Metrics, select the remove (×) icon next to the field you want to remove.
  • Open the column's actions menu, and select Remove.

How do I drill down on a dimension?

Open a column's actions menu (the caret on the column header) and select Drill Down. Every drill map available in the legacy reporting solution is available here. Hover over a drill map to see its dimension values, then select the dimension you want to drill down on. The selected dimension is added to the report grid.

Can I see custom fields?

Yes. Custom fields configured in your environment are available in the Drill Down option. Up to 10 custom fields are supported.

How do I rearrange dimensions and metrics?

You can reorder dimensions and metrics to suit your analysis.

  1. Open the Data panel using the Data button on the right side of Report Explorer. You'll see all dimensions and metrics currently in the report.
  2. Hover over a dimension or metric. A drag icon appears on the left of the field.
  3. Drag the field up or down to the position you want, within the same section (dimensions or metrics), and release it.

Can I move dimension or metric rows to columns?

You can move dimension rows to columns using the Properties panel, letting you pivot your data view for analysis. Moving metric rows to columns is not currently supported and is planned for a future release.

Can I create new metrics?

Not yet. Each report shows a predefined set of metrics relevant to that report — the standard numeric columns such as Revenue, New Billing, and Beginning Deferred Revenue that are built into the report by default. Creating custom or formula-based metrics is not currently supported and is planned for a future release.

Filter and sort

How do I filter data in a column?

Follow these steps to filter data in a column:

  1. Open a column's actions menu (the caret on the column header) and select Filter.
  2. In the filter section, choose an operator, enter a value, and click Apply Filter. The active filter appears at the top of the report for easy reference. You can apply multiple filters at once across different columns.
  3. To clear a single filter, select the (×) icon next to it in the report header. To clear every filter on the report, click Clear All Filters on the right side of the report header.

The available operators depend on the column type:

Some filtering capabilities are not available yet, such as:

  • Multi-value selection. You can't select multiple values from a column at once. Filtering by "is any of" multiple values is planned for a future release.
  • Filtering on the displayed decimal value. Numeric values in the grid are rounded to two decimal places for readability, but filters are applied against the exact stored values, which may include more decimal places. As a result, filtering on a rounded value shown in the UI may not return the records you expect. Filtering on the displayed rounded value is planned for a future release.
  • Metric filtering on Control and Validation reports. Metric filtering is not available for Control and Validation category reports, except for the Revenue Control report.
  • Additional operators. Not Between, Is Empty, and Is Not Empty are planned for a future release.

How do I modify an existing filter?

There are two ways to modify an applied filter:

  • Click the filter value at the top of the report to open the filter section, then update the value.
  • Open the column's actions menu (the caret on the column header), select Filter, and update the values in the filter section.

How do I sort by a column?

There are two ways to sort:

  • Open the column's actions menu (the caret on the column header) and select Sort ascending or Sort descending.

  • Click the sort arrow on the column header to sort in ascending order, then click it again to sort in descending order.

To clear sorting, open the column's actions menu and select Clear Sort.

Sorting is currently supported on dimension columns only, not on metric columns, and you can sort on one column at a time.

Can I remove the Accounting Period filter from reports?

No. The Accounting Period filter is a mandatory default filter and cannot be removed. It applies to all reports in the Revenue, Sales & Invoices, and Accounting categories in the new reporting solution.

Subtotals

What do the Subtotal (Σ) rows represent?

A Subtotal row (marked with the Σ symbol) shows the aggregated total of all numeric values within a group. When data is grouped by dimensions such as Product Name and Sales Order ID, a Subtotal row appears at the end of each group, summarizing the combined values across every record in that group.

Subtotal rows are supported up to two levels of drill-down, and they can't be removed from a report. A grand total — a single aggregated total across every record in the report — is not currently supported and is planned for a future release.

Currency

How do I change the currency for transaction-currency reports?

By default, transaction-currency variant reports display values filtered by Transaction Currency. A Transaction Currency filter appears at the top of the report, showing the currency the data is currently filtered by.

To change it, click the Transaction Currency filter at the top of the report. A dropdown lists every transaction currency in your organization, with a checkmark on the current selection. You can then:

  • Select a specific currency to show only the records and values transacted in that currency.
  • Select All to remove the currency filter and view data across every transaction currency in a single combined view.

Trend reports (Control and Validation)

How do I run a Monthly Trend report?

Trend reports in the Control and Validation category — for example, the Unearned / Monthly Trend report — require some inputs before they can run. When you select one of these reports, you're taken to a Required Filters page where you complete the following fields:

  1. Date — Enter the reference date for the report (for example, 12/31/2025).
  2. Lookback period in months — Enter how many months of historical data the report should cover. This defaults to 12 months.
  3. Filter records based on threshold — Enter a numeric threshold (the default is 1000) used to filter records by month-over-month increase or decrease.

A progress indicator at the bottom shows how many required filters you've completed (for example, "3 of 3 completed"). When every required field is filled in, the Execute Report button becomes active. Click it to generate and view the report with your parameters.

How do I re-run a report with new values?

You can return to the filter input screen and re-run the report in two ways:

  • Clear filters manually. Select the (×) icon next to any applied filter at the top of the report (for example, Date, Lookback period, or Threshold), or click Clear All Filters to remove them all at once. You're taken back to the Required Filters page, where you can enter new values and run the report again.
  • Refresh the report. Click the Refresh icon in the report toolbar to clear all applied filters and return to the Required Filters page, ready for new input values.

Export report data

How do I export report data?

Click the Download icon in the report toolbar at the top-right, then choose Current Page (CSV) or All Pages (CSV):

  • Current Page (CSV) exports only the data visible on the current page.
  • All Pages (CSV) exports the complete dataset across all pages.

Both options download in CSV format. The exported file is saved to your browser's download location and appears in your browser's download history. You can also access exported files later from the Exported Data tab by clicking the Download icon in the File URL column for that export.

The exported file keeps all dimensions, metrics, filters, sorting, and drill-downs applied at the time of export, so your data is exported exactly as you see it on screen. Export supports more than 5+ million records.

Two limits apply to exports:

  • Access. Saved and exported reports can currently be accessed by any user in your organization. In a future release this will be restricted so that only the user who saved or exported a report can view it under My Reports and Exported Data.
  • Run time. An export job can run for up to 180 minutes. If processing exceeds 180 minutes, the export fails.

What if the report takes too long to download?

You don't need to wait on the page for an export to finish. You can navigate away or keep working; when the export is ready, it downloads automatically to your browser's download location and appears in your download history.

To access it later, go to the Exported Data tab. When the job status changes to Completed, click the Download icon in the File URL column for that export to get your file.

What if the export fails due to the UI time limit?

If an export fails because of the UI time limit, you don't need to retry immediately — the export job keeps running in the background. Leave the page and check the Exported Data tab later. When the Status column shows Completed, click the Download icon in the File URL column to get your file.

What if the export job fails?

If an export job fails, check the Exported Data tab. The failed entry shows a Status of Failed, with details in the Error Message column explaining why. In most cases, retrying the export by clicking the Download icon in the report toolbar again resolves the issue, especially when the failure was caused by a temporary system load or connectivity issue.

If you retry and still get the same error, Contact us. Share the report name, the error message from the Exported Data tab, the approximate time you attempted the export, and a screenshot if possible, so the support team can investigate quickly.

Save, update, share, and delete reports

Can I share a report with other users?

Yes. Report sharing is available through the Shared Reports category when you save a report.

  1. Click the Save icon in the report toolbar at the top-right.
  2. In the Save as New Report popup, enter a Report Name and optional Description.
  3. Under Save to, select Shared Reports. This option allows everyone in your organization to access it.
  4. Click Share report.

The shared report appears under Shared Reports so other users in your organization can access it. To keep the report private instead, select My Reports under Save to and click Save report.

How do I save a report?

Follow these steps to save a report:

  1. Click the Save icon in the report toolbar at the top-right.
  2. In the Save as New Report popup, you can:
    • Enter a Report Name. This is pre-filled as "Copy of [original report name]", which you can edit.
    • Enter a Description. This is pre-filled as "Created from [original report name]", which you can edit.
    • Under Save to, choose who can access the report:
      • My Reports — Private; only you can access it.
      • Shared Reports — Everyone in your organization can access it.
    • Review the summary at the bottom of the dialog, which confirms the configuration being saved, including the number of dimensions, metrics, and filters applied.
    • Click Save report if you selected My Reports, or Share report if you selected Shared Reports. Click Cancel to discard.
  3. After you save to My Reports, you're taken to the My Reports tab, where your saved reports are listed with the most recently saved report selected. After you share to Shared Reports, the report appears under the Shared Reports category.

A saved report keeps all dimensions, metrics, filters, sorting, and drill-downs applied at the time of saving, so it's ready to use exactly as you configured it.

To keep a report unchanged, use Save as New Report. To overwrite an existing saved report with your current view, use Update a saved report.

How do I update a saved report?

To update an already saved report:

  1. Go to the My Reports tab and open the report you want to change.
  2. Apply your changes such as filters, sorting, drill-downs, expanding or collapsing groups, or updating dimensions and metrics.
  3. Once you're done, click the Update icon in the report toolbar.
  4. In the Update Report popup, you can edit the Report Name and Description; a summary confirms the updated configuration, including the number of dimensions, metrics, and filters.
  5. Click Update to save your changes.

Updating overwrites the report's previously saved dimensions, metrics, filters, and layout with the current configuration.

How do I delete a saved report?

To delete a saved report:

  1. Go to the My Reports tab and open the report you want to delete.
  2. Click the Delete icon in the report toolbar. In the Delete Report confirmation popup, click Delete Report to remove it.

Deleting a report is permanent and cannot be undone, so make sure you no longer need the report before you confirm.

Performance and timeouts

What is the UI action timeout?

Report Explorer has a processing time limit of 2 minutes for any action performed directly in the report interface, including applying filters, sorting columns, adding or removing dimensions and metrics, and loading report data.

If a request takes longer than 2 minutes, the action may time out. This is most likely with very large datasets or complex configurations that apply multiple filters, dimensions, and metrics at once. In those cases, export the report instead: export jobs run as background processes and aren't bound by the 2-minute UI limit, so larger or more complex reports can complete regardless of how long they take.
