How to resolve HubSpot sync issues with Chargebee business entities

Problem Statement

When updating a subscription from HubSpot using the Edit Subscription flow on the Chargebee subscription card, you may see:

Unable to create a subscription. This company is already associated to Chargebee business entity default, while the access key you entered was for a different business entity.

This can occur even when the subscription belongs to the business entity synced with HubSpot.

Solution

The error is caused by missing or incorrect Business Entity Name values in HubSpot. Confirm and sync the business entity details, then retry the subscription update.

Configuration steps

Step 1: Check the business entity field in HubSpot

  1. Open the Company record in HubSpot associated with the deal.
  2. Locate the Business Entity Name field.
  3. Confirm the field is populated with the correct business entity name.

Step 2: If the business entity field is missing

  1. Run a Full Sync between Chargebee and HubSpot.
  2. After the sync, confirm the Business Entity Name field is visible at both Company and Contact levels.
  3. Verify it contains the correct business entity name.

Step 3: Retry updating the subscription

  1. Return to the HubSpot deal.
  2. Use the Edit Subscription flow again.
  3. The update should complete successfully.
