How do I add sales tax to a drafted invoice in Chargebee?

Problem Statement

This article explains how to get sales tax onto an invoice that was already created (drafted) in Chargebee. You cannot add tax to an existing invoice directly; you must adjust tax settings and recreate or void and regenerate the invoice.

Related Scenarios

  • What to do if a drafted invoice needs to be updated with tax?

Solution

You cannot edit an existing invoice to add sales tax. Ensure tax rates are configured, then either delete and recreate the invoice or void it and generate a new one so the new invoice is created with the correct tax.

Steps to Set It Up

  1. Set up tax rates in Chargebee
Go to Settings > Configure Chargebee > Taxes. Click Add Region to add or edit a tax region. Configure tax rates for the regions and products you invoice.

  2. Delete and recreate the invoice
Open the customer or subscription Invoices, find the invoice, and Delete it. Create a new invoice with the correct tax by adding the needed line items to the customer/subscription.

  3. Or void and create a new invoice
Open the invoice, click More Actions > Void. Then generate a new invoice so it uses the updated tax settings.

Additional Information

  • Configure tax settings before generating invoices to avoid this situation. You can use tax integrations (e.g. Avalara, TaxJar) for automatic tax calculation.

Important Notes

  • You cannot add sales tax to an invoice after it is created.
  • Verify tax settings before generating invoices.
  • Consider automated tax calculations to reduce manual errors.
