Understanding Lock Dates in Xero

Issue Overview The invoice was issued on March 1st, and the period closed on April 30th. The invoice was voided on May 29th and synced on May 30th. Syncing the voided invoice on May 30th reduced the past sales figure for the April closing period. Ideally, voiding the invoice in Chargebee should not update Xero. Invoice issue date: 1st March Period close: 30th April Invoice voided date: 29th May Voided Invoice sync date: 30th May The ability to void invoices in Xero depends on the lock dates set within Xero. If a lock date is enabled, Xero may prevent Chargebee from voiding invoices. This article explains how lock dates and user roles impact this process and how to check your permissions.

Lock Dates in Xero

Xero allows businesses to set lock dates to prevent changes to transactions after a certain period. Lock dates apply to all user roles except the adviser user role.

  • If Chargebee is integrated with an adviser user role in Xero, it can void invoices even when a lock date is enabled.
  • If the integration is set up under any other role, Xero will not allow voiding invoices past the lock date. For more details, refer to Xero's documentation on setting up and working with lock dates.

Checking User Roles in Xero

To verify user roles and permissions in Xero:

  1. Click on your organization name in Xero. 2.Select My Xero to view your user role for each organization. 3.Review Xero's documentation on Changing a user's role or permissions for guidance.

Chargebee's Role in Voiding Invoices Even if Chargebee attempts to void an invoice, Xero will block the request if the lock date is enforced. The ability to void invoices depends entirely on Xero's user permissions and lock settings. Next Steps

  • Verify the user role Chargebee is using for the Xero integration.
  • Check if lock dates are correctly set in Xero.
  • If Chargebee is unable to void an invoice despite correct permissions, contact Xero Support for further assistance. Since Xero controls whether an invoice can be voided after a lock date, Chargebee has limited control over this process.
