QuickBooks Online

Introduction

RevRec Premium integrates with QuickBooks Online (QBO) to post journal entries from RevRec Premium into QBO. Connect the two systems and configure the journal posting flow based on your business needs.

Sync Overview

You can integrate your RevRec Premium site with QuickBooks Online for journal posting. Linking RevRec Premium with QuickBooks Online pushes journal entries to the QuickBooks Online ledger.

RevRec Premium supports two posting options:

  • Automated Posting: Journals are pushed to QuickBooks Online at the frequency you configure.

  • On-Demand Posting: You can trigger postings manually from the Post Journals page whenever needed.

Once journals are posted, you can verify the entries in QuickBooks Online on the Journal Report.

Configuring Journal Posting Flow

Configure journal account mapping before you post. Mapping sends each journal entry to the correct account in QuickBooks.

Enabling Compact Journal Entry Id

QuickBooks limits the journal entry ID (DocNumber) to 21 characters. Turn on Compact Journal Entry Id before you post journals to QuickBooks. When this setting is on, RevRec Premium shortens the journal entry ID to 21 characters or fewer.

  1. Go to Settings > Accounting > Journal Posting.
  2. On Configure Journal Posting Settings, turn on Compact Journal Entry Id.

  3. Click Save.

Including Required Columns

Journals that you post to QuickBooks Online must include these columns:

  • Class
  • Customer Id
  • Customer Name

Connecting RevRec Premium with QuickBooks Online

Note

Only users with the Controller role can connect your RevRec Premium site with QuickBooks Online.

Follow these steps to connect your RevRec Premium site to QuickBooks Online:

  1. Log in to your RevRec Premium site.
  2. Navigate to the environment you want to integrate with QuickBooks Online.
  3. Go to Settings > Accounting.
  4. On the Accounting page, click the Connect icon.
  5. In the Connect your data pop-up, select AC Journal Posting.
  6. In the Journal Posting pop-up, select QuickBooks to connect your QuickBooks Online company, or QuickBooks Sandbox to connect a sandbox company.

Executing Journal Posting

RevRec Premium offers two ways to execute journal posting:

  • Automatic Posting: Journal entries are posted automatically based on the journal frequency configuration.
  • Manual Posting: You can manually initiate journal posting from the Post Journal Entries page.

To post journals manually:

  1. Go to Monthly Close > Post Journals.
  2. On the Post Journal Entries page, select the Post Journals tab.
  3. Click the + icon to post the journals.

  4. Review the posted journal entries in QuickBooks Online on the Journal Report.
