DocuSign 

DocuSign allows you to create quotes using a customized template and send them to your customers. You can digitally sign your quote and automate reminders to your customers for the digital signature. Chargebee's integration with DocuSign lets you send a pre-accepted quote to your customers.

Limitations 

The following are the limitations with this automation:

  • It has only one standard template for the entire organization.
  • It does not send a PDF version of the accepted quote.
  • With this automation, the quote is verified using Chargebee's powerful quote management application. If you use the workflow that sends a line-item quote, Chargebee recommends exploring GetAccept on our Marketplace.

Pre-requisites 

The following are the pre-requisites for getting a previously accepted quote digitally signed using the DocuSign template.

  • Zoom meeting link to enable the setup.
  • A DocuSign subscription.
  • A Business Pro account with DocuSign.

Integrating DocuSign 

The integration works in the following sequence:

  • Creating a quote and receiving a commitment from your customer.
  • Sending a quote via DocuSign.
  • Automatically create a subscription once the quote is digitally signed.

Converting a Quote to Subscription with DocuSign 

To convert a quote to a subscription using DocuSign, follow these steps:

  • Initiating the Sales Cycle: The salesperson initiates the sales cycle with a purchasing agent.
  • Creating a Quote: A potential quote is created in the Open status in Chargebee.
  • Communication between the parties:
    • The quote is shared with the customer using the send email capability in Chargebee
    • The final quote's items and prices are agreed upon after this communication process.
    • You can update and resend the updated quote to the customer in the event of a negotiation.
    • The salesperson uses Chargebee's quote application to send the customer a PDF of the quote.
  • Tracking updates
    • The customer agrees to all the items and terms in the contract.
    • After a customer has agreed to the quote, mark the quote as Accepted in Chargebee.
    • Chargebee quote status to Accepted within Chargebee.
    • Changing the quote status to Accepted kicks off the automation recipe.
  • DocuSign shares a request for a signature:
    • Once the quote is Accepted, the DocuSign template configured in the recipe is populated with the fields from Chargebee and sent out to the customer's email id for e-signature.
    • When the contract is signed in DocuSign, a second recipe kicks off.
  • Accepted Quote converts into a Subscription:
    The recipe, which runs every five minutes, automatically converts the finally Accepted quote to a subscription in Chargebee. This happens only when the signed template lands in the DocuSign application.

The merged fields are named exactly as they appear for Chargebee's quote. The list of fields and their mapping is available within the field mapping table shown below.

DocuSign Field Mapping 

Map fields from Chargebee quote to the text fields in the DocuSign template. When sending out a quote for an e-signature, the fields automatically get pre-filled in the DocuSign template.
