How do I resolve the 'Entity is synced already' error in Chargebee and HubSpot?

When integrating Chargebee with HubSpot, you might encounter the error message "Entity is synced already, but no match found in third party." This typically occurs if a contact in HubSpot is deleted or merged after it has been synced with Chargebee. This article provides a step-by-step guide to resolve this issue effectively using the Retry sync and Redirect sync options.

Solution

Follow these steps to resolve the sync error between Chargebee and HubSpot:

  1. Identify the affected entity: Determine whether the error is related to a contact or a company in HubSpot.

    • Navigate to the Apps section in Chargebee.
    • Select HubSpot to view the sync status.
  2. Use 'Redirect sync' for the contact:

    • In Chargebee, find the contact that is causing the error.
    • Click on Redirect sync to re-establish the link with the correct HubSpot contact.
    • Ensure that the contact exists in HubSpot with the correct Customer ID.
  3. Use 'Redirect sync' for the company:

    • After successfully redirecting the contact, proceed to redirect the associated company.
    • This ensures that both entities are correctly linked in HubSpot.
  4. Retry the sync:

    • Once both the contact and company have been redirected, click on Retry sync in Chargebee.
    • This will attempt to sync the entities again, now with the correct associations.
  5. Verify the sync status:

    • Check the sync status in the HubSpot integration section of Chargebee.
    • Ensure that there are no further errors and that the entities are correctly matched.

Important Notes

  • Ensure that the Customer ID in HubSpot matches the ID in Chargebee before attempting to redirect or retry sync.
  • If the error persists, double-check that the contact or company has not been deleted or further merged in HubSpot.
  • Regularly review your HubSpot contacts and companies to prevent similar issues in the future.
  • For more detailed setup instructions, refer to the HubSpot sync setup guide.
