How do I add a customer's name to an existing credit note?
Problem Statement
When generating credit notes in Chargebee, the customer's name may be missing if the associated invoice did not have the customer's name at the time the credit note was created. Due to compliance requirements, a generated credit note cannot be modified. You can address this in two ways.
Solution
Option 1: Cancel and recreate the credit note
If the credit note has not been sent to the customer, cancel it and create a new one with the correct customer details.
- Go to Billing > Credit Notes in your Chargebee dashboard.
- Find the credit note you want to cancel.
- Click the credit note and select Cancel.
- Ensure the customer's name is correctly added to the associated invoice.
- Create a new credit note from the updated invoice.
Option 2: Generate a supplementary document
If the credit note has already been sent, create a supplementary document that includes the customer's name.
- Use your preferred document editor to create a supplementary document.
- Include the credit note number, date, and the correct customer name.
- Send the supplementary document to the customer to accompany the original credit note.
Important Notes
- Modifying an existing credit note is not allowed due to compliance regulations.
- Always verify the customer's name and other details on the invoice before generating a credit note.
- Keep a record of any supplementary documents sent for future reference.
