Billing data migration

Switch billing systemswithout losing your financial record.

Migration is the moment your financial record gets transferred across systems. Every customer, subscription, invoice, payment transaction has to arrive complete and correct.

Preserving subscription context

Key considerations for billing data migration

Most software platforms only capture an account's current state. The commercial history behind it usually gets pieced together by hand. Chargebee helps you retain the full event chain on every record, making time-series analysis possible. Imagine querying a database rich in historical context around choices and patterns made.

Preserving the audit trail

Every customer record, current subscription state, invoice, and payment record migrates intact. Historical invoices and credit notes carry the commercial timeline. Any record that does not arrive correctly - a payment method, subscription status, or invoice line - becomes reconciliation work in the post-go-live close.

ASC 606 compliance retained

Your deferred revenue schedules, revenue-recognition rules, and contract-term tracking are baked into current invoices and payment records.

Numbers reconcile at close

On the first close after go-live, MRR, ARR, recognized revenue, and deferred revenue balances must match the last close in the legacy system.

Postponing historical context

The permanent parallel run trap

What starts as a temporary transition can become a permanent operating model. New customers go into Chargebee cleanly. Legacy customers stay in the old system indefinitely.

Two billing systems, indefinitely

Two sets of infrastructure, compliance requirements, PCI scope, and support tooling - not just during transition, but potentially for years. Finance consolidates manually every reporting cycle.

Legacy customers left behind

Chargebee's dunning, smart retries, and revenue recovery automation can't operate on subscriptions outside the platform. Legacy customers miss out on recovery rates that directly affect your bottom line.

No single source of truth

MRR, ARR, churn, and LTV need manual consolidation across systems and can become difficult to fully reconcile. Support teams see an incomplete view of any customer's history.

A forced migration later

Legacy systems reach end-of-contract or end-of-support. The migration that could have been planned and deliberate becomes urgent - under harder conditions, with more data accumulated and less runway.

Approaching billing migration

How Chargebee approaches billing migration

We've migrated over 1,000 companies, and every migration is unique and critical. The ones that go live fast share one common trait: stakeholders understand the significance of bringing in historical context and actively helped unblock the process.

01

Data analysis

We start from your existing billing data directly, with no spreadsheet templates to fill out. We identify what transforms cleanly, what requires mapping, and what edge cases need your validation.

02

Transformation specification

Your business rules (plan changes, proration, credits, dunning, recognition dates) are codified into a specification that your finance team reviews and approves.

03

Sandbox validation

Full transformation runs in sandbox. Your team tests comprehensively. Revenue totals are reconciled. Subscription states are spot-checked. Historical data integrity verified. Nothing proceeds without explicit sign-off.

04

Delta & production push

Between sandbox and production, your legacy system continues generating data. We capture every change, reconcile the deltas, and validate that live data arriving in Chargebee matches sandbox expectations.

Why these numbers matter:

Migration speed is secondary to migration completeness. A migration where the close works on Day One beats a migration where reconciliation takes another two months. The discipline built into our process is why the first close works.

Hearing from customers

“Chargebee's support was invaluable in migrating our historical billing data in a single-phase migration. Their APIs were reliable, robust, and easy to use, while their tools transformed unstructured data into a manageable format, validating every step and preventing errors.”
Jeff CohenFormer Head of Engineering, Medality
“What has worked well with Chargebee is they were on the same page and carry out their implementation in phases too. This is to ensure there are no surprises, the software fits well in the organization before it migrates all the data.”
Jay KhiroyaFormer Head of Revenue Operations, Doctify

Automating billing migration

Introducing Chargebee's Gen-AI Migration Suite

Purpose-built tooling behind the process, from initial data analysis through automated reconciliation at go-live.

The Migration Suite removes repetitive operational work (generating plans, catching errors, reconciling totals) so our consultants spend time on what matters: understanding your business model, resolving complex billing scenarios, and ensuring your first close works.

Fast-track your migration process

What to bring to your first call

Good preparation translates directly into faster delivery. The most successful migrations start before the first Chargebee meeting.

  • Your pricing and product catalog

Every plan, add-on, tier, and pricing rule, helps build catalog/rate-card foundation.

  • A clean data export from your current platform

Data-first approach means we start from your raw billing data, not templates.

  • Integration map

CRM (e.g., Salesforce), ERP (e.g., NetSuite), payment gateways (e.g., Stripe), and internal systems that connect to billing.

  • Identified business owners

Finance, Engineering, and RevOps contacts who can approve at each validation gate.

  • Customer lifecycle definitions

How plan changes, cancellations, credits, and dunning are handled today.

Frequently asked questions

Common questions about billing migration

Incorrect proration or duplicate charges result in refunds, chargebacks, and a poor experience for your end customers. Incorrectly mapped payment methods can trigger unnecessary dunning for healthy customers or miss recovery opportunities for genuine failures. Incorrectly mapped plans or entitlements may block customers from features they've paid for - or grant access without entitlement. This is why go-live is gated on reconciliation results, not a timeline.

Milestones, timelines, and responsibilities are defined at the start of the engagement - not adjusted after the fact. Regular checkpoints make delays and scope changes visible early, so they can be resolved before they affect go-live. A faster migration means faster time to value for you, and that is the goal from day one.

Billing system migrations like Stripe, Zuora, Recurly, Maxio are well documented, with field-by-field mapping and automation built from repeated migrations. We also support 30+ other platforms - including Braintree, Recurly, Zoho, NetSuite, Salesforce, and QuickBooks - with the same validation and reconciliation process applied regardless of source.

Data is first cleansed and mapped field-by-field in a staging environment against defined validation rules. We then reconcile source and destination by comparing subscription counts, MRR, outstanding invoices, and active payment methods. Go-live is gated on reconciliation results meeting agreed criteria, supported by manual QA sampling. After cutover, a monitoring period catches any anomalies - failed charges, duplicate invoices, missing renewals - before the migration is considered complete.
