Multi Business Entity Invoices 

Introduction 

The Multi Business Entity (MBE) feature provides the capability to create and manage multiple entities within Chargebee.

In many countries, regions, or jurisdictions an invoice is a legal document that has to follow very specific rules. When these entities have extensive legal requirements for invoice presentment or delivery, there is often a local service that will help bridge that gap. Since Chargebee Multientity functionality now supports multiple business entities, the downstream invoicing and taxation capabilities related to multiple business entities are also covered. Invoices generated are mapped to the specific legal entity. The entity-specific billing address and sequencing are generated for invoices.

User Roles and Configuration Matrix 

The user roles define the access level assigned to a user and the configuration permission to update details at a site or entity level. Review the table below to understand better:

Site Level Configuration for Invoices 

Site-level settings are applicable to all business entities by default. Businesses can send Invoices to customers from specific entities. The billed from information will represent the right entity. This will inherit the entity-relationship that is predefined for a customer.

The following are the site-level settings applicable to Invoices:

  • Invoice numbering will also have site setting and optional entity override. If not overridden at the entity level then the numbering sequence will be picked up from the site.
  • Invoices (Pro-forma) are applicable at the site level only.
  • Invoice notes & payment instructions are defined at the site level.
  • All dates for Invoices are saved in UTC format.
  • Global branding rules configured at a site level will continue to apply to the entities.

Entity Level Configuration for Invoices 

While Site-level settings apply to all entities, you can choose to define entity-specific configuration too. When you switch from the site configuration to the entity configuration you will land on the same page at the entity level. Else you will be redirected to the dashboard page on entity view.

Entity level configuration can be used to modify the following fields:

Signature 

Click Add to configure a signature for the applicable entity.

Invoices 

You can choose to customize the invoice title, numbering, and notes. You can also configure payment instructions. Utilize the Preview invoice function to view a sample invoice.

Credit Notes 

You can choose to customize the credit note title, numbering, and notes. Utilize the Preview credit note function to view a sample credit note.

Quotes 

You can choose to customize the quote title, numbering, and notes. You can also configure payment instructions and signatures. Utilize the Preview quote function to view a sample quote.
