Quote Form Builder

Overview

The Quote Form Builder allows you to customize how sales teams input quote details, aligning with your sales process and branding. Using the Quote Form Builder, you can modify the fields visible to your users, add new custom fields as required, and make fields mandatory or optional based on your specific business needs.

You can customize the following aspects of your Quote form:

  • Managing field visibility
  • Adding custom fields
  • Editing field properties
  • Editing Standard Fields
  • Editing Pricing Fields

Accessing Quote Form Builder

To customize the Quote form in your Chargebee Billing site, follow these steps:

  1. Navigate to Settings > Configure Chargebee > Quotes > Quote form builder.

  2. The Quote form builder page displays various sections that typically appear on a Chargebee quote such as:

    • Quote Information
    • Contract and Subscription Details
    • Product and Pricing
    • Billing and Terms

  3. You can click the section links to quickly navigate between the respective sections. Each of these sections display all fields that are currently populated within the respective sections. Click Add Field to add more relevant fields within each section. Refer to the sections below to understand how you can further customize the form builder.

  4. Before finalizing your modifications, you can click the Preview button to see how the changes will appear on the actual quote page. This allows you to verify that the correct fields are visible, hidden, and that mandatory fields are marked appropriately.

  5. Once you're done customizing the quote form based on your requirements, click Publish to save your changes.

You have successfully updated and personalized your quote form which is not available for all users who fill and send for approval or to your customers.

Managing Field Visibility

Each section in the Quote form builder page could have both standard fields and custom fields. These fields come with a Toggle icon that can be used to control the visibility of the field on your Quote form.

  • Clicking the toggle off will hide the field from the quote form that your sales agents see and fill. For example, toggling off the Hosting region field will remove it from the Quote form.
  • Clicking the toggle on will make the field visible on the Quote form.

Adding Custom Fields to Quotes

You can create and add custom fields to your Quote form based on your unique sales processes and requirements. Before customizing the Quote Form Builder, ensure that you have already created the necessary custom fields in your Chargebee Billing site.

To add custom fields to your Quote form, follow these steps:

  1. On the Quote form builder screen, navigate to the specific section where you want to add the custom field, and click Add Field.

  2. A list of your existing custom fields will appear. Select the custom field you wish to add to the section of the quote and click Add.

    You can also click Create or Manage Custom Fields option that redirects you to the Custom Fields page where you can create new custom fields as required.

  3. Once added, you can click the Edit icon next to the custom field that redirects you to the Custom Fields page, where you can make changes such as:

    • Modifying drop-down options.
    • Making the field mandatory or not mandatory.

Editing Field Properties

To edit the field properties for standard fields, follow these steps:

  1. Click the Edit icon present next to the toggle switch.
  2. Clicking this icon allows you to modify the properties of the field.

Editing Standard Fields

You can edit the standard fields of the quote form to make them mandatory in your quoting process. Click the Edit icon next to any standard field, and enable the This field is mandatory checkbox. For instance, in the below screenshot, the PO number field is made mandatory. When a field is made mandatory, an asterisk (*) will appear next to it on the quote page.

Editing Pricing Fields

For fields within the Product and Pricing section (e.g., quantity, list price, discount, discount period), clicking the Edit icon provides the option to make these fields editable for your sales agents. Enable the Editable in quote form checkbox to allow users to modify the value of that field during quote creation.

Viewing the Customized Quote Form

When your sales representatives click Create Quote, they will now see the quote creation screen with the fields configured through the Quote Form Builder. This includes any custom fields you added, fields you made mandatory, and the ability (or inability) to edit certain pricing fields. By utilizing the Chargebee CPQ Quote Form Builder, you can tailor the quote creation process to ensure your sales team has the necessary fields available and that critical information is captured effectively.
